Effective Date: 1 July 2026
These Terms of Use apply to you if you use Meadow as a member of staff of a childcare service, or as a parent, guardian or family member of a child who attends one. They are between you and Meadow Labs Limited, 7 Bearú Mhór, Cois Bhearú, Athy, Co. Kildare, R14 D363, Ireland ("Meadow", "we", "us").
1. Introduction
1.1 Meadow is a childcare management platform. Childcare services (each a "Customer") subscribe to it under the Meadow Terms and Conditions and invite their staff and the families of the children in their care to use it.
1.2 These Terms of Use ("Terms") govern your access to and use of the Meadow web application and the Meadow app for iOS and Android (together the "Platform"). By signing in to the Platform you agree to them. If you do not agree, do not use the Platform.
2. Who you are, and your relationship with the Customer
2.1 You are an "Authorised User" if a Customer has invited you to the Platform. There are two kinds:
- a "Staff User" is an owner, manager or employee of the Customer, given a role in the Platform to do their job;
- a "Family User" is a parent, guardian or other family contact of a child attending the Customer's service, invited to see and take part in that child's day.
2.2 The Customer controls its own area of the Platform. It decides who is invited, what role and permissions each person has, what is recorded about each child, and when access ends. Meadow provides the Platform; the Customer runs its service on it.
2.3 If you have a question about a child's record, a post, a message or your access, ask the Customer first. It is responsible for the records it keeps and for the people it invites.
3. Your account and password
3.1 Your login is personal. Do not share it, and do not use anyone else's. Keep your password private and choose one you do not use elsewhere. You can turn on multi-factor authentication in your account settings, and we recommend it.
3.2 You are responsible for what is done through your login until you tell the Customer or Meadow that it has been compromised. Tell us at once if you think it has: james@meadowapp.ie.
3.3 Do not let a child use your login.
4. Eligibility
4.1 You must be 18 or over to use the Platform.
4.2 You must be the person the Customer invited. You must not use the Platform if your access has been removed, or if a previous account of yours was suspended for breaking these Terms.
5. What you may use the Platform for
5.1 A Staff User may use the Platform only to carry out their duties for the Customer, within the permissions the Customer has given them.
5.2 A Family User may use the Platform only for personal, non-commercial purposes: to see information about their own child, to communicate with the Customer, and to take part in what the Customer shares with them.
5.3 You may not use the Platform for any other purpose, or on behalf of anyone who is not entitled to use it.
6. Photos, videos and other people's children
6.1 The Customer decides whether and how children are photographed or recorded, under its own policy and with parents' consent. Staff Users must follow that policy.
6.2 Photos and videos shared with you in the Platform may show children other than your own. You may save or share them only for your own family's private use. You must not post them publicly, share them on social media, or pass them to anyone outside your family without the consent of the parents or guardians of every child shown. Ask the Customer if you are unsure.
6.3 If you see a photo or video of your child that you did not consent to, tell the Customer; it can remove it.
7. Intellectual property
7.1 The Platform, its design, code, documentation and the Meadow name and marks belong to Meadow and its licensors. You get no rights in them except to use the Platform under these Terms. Do not copy, modify, reverse engineer or resell any part of it.
8. What you post
8.1 You may post comments, reactions, messages, form answers and, if your role allows, photos, videos and records ("Contributions").
8.2 Your Contributions, and everything else recorded in the Customer's area of the Platform, belong to the Customer or to the person who provided them, and are controlled by the Customer. The Customer can edit or remove a Contribution and can withdraw your access to it. Meadow processes Contributions only on the Customer's behalf.
8.3 You are responsible for your Contributions. Post only what you have the right to post and what is true.
9. Rules of use
9.1 You must not:
- impersonate anyone, or misrepresent who you are or your relationship to a child;
- post or send anything unlawful, threatening, abusive, harassing, defamatory, obscene, discriminatory, or that violates anyone's privacy;
- post or send advertising, spam, or content for a competing product;
- try to access any child's record, room, post or message that you have not been given access to, or any other Customer's data;
- probe, scan, overload, interfere with or attempt to break the Platform, or upload malicious code;
- copy, scrape or extract data from the Platform except as the features provided allow;
- use the Platform to collect personal data about anyone for your own purposes;
- make a false report of abuse or misconduct.
9.2 The Customer may set additional rules for its own users. It is responsible for telling you what they are.
10. Reporting and safeguarding
10.1 If you see a Contribution that breaks these Terms, report it to the Customer's owner or manager. They can remove it and remove the person's access. You may also tell Meadow at james@meadowapp.ie.
10.2 If you are concerned about a child's welfare, do not rely on the Platform to raise it. Speak to the Customer directly, or to Tusla, the Child and Family Agency. Meadow is not a party to the care of any child.
11. Privacy
11.1 Meadow processes the records the Customer keeps about you and your child on the Customer's behalf, as its data processor. The Customer is responsible for that data and for answering your requests about it. Read How Meadow handles your childcare service's data.
11.2 Meadow is responsible for your login, the notifications it sends you and its own website. The Meadow Privacy Policy explains that.
12. The app and third-party services
12.1 The Meadow app is available from the Apple App Store and Google Play, whose terms also apply to your use of it. Apple and Google are not parties to these Terms and have no obligations to you under them.
12.2 If you choose to sign in with Google or to use any other third-party service through the Platform, that service's own terms apply to it. Meadow is not responsible for third-party services.
13. Feedback
13.1 If you send us ideas or feedback about the Platform, we may use them without restriction and without owing you anything.
14. Term, suspension and termination
14.1 These Terms apply for as long as you have access to the Platform.
14.2 The Customer may remove your access at any time. Meadow may suspend or end your access if you break these Terms, if we must to protect the Platform or other users, or if the Customer's agreement with Meadow ends.
14.3 When your access ends you can no longer sign in. Records about you or your child remain with the Customer, which decides what happens to them.
15. Liability
15.1 Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot be limited by law.
15.2 The Platform is provided to you free of charge by arrangement with the Customer. To the fullest extent the law allows, Meadow is not liable to you for any loss arising from your use of the Platform, from Contributions posted by other users, or from the acts or omissions of the Customer. Meadow relies on the Customer to deal with a user who breaks these Terms, but may act itself where there is a credible risk of harm.
16. Changes to these Terms
16.1 We may change these Terms. The effective date is shown at the top. We will tell you about a material change by email or in the Platform before it takes effect. Continued use after that is acceptance of the new version.
17. Assignment
17.1 You may not transfer your rights under these Terms. Meadow may transfer its rights and obligations to a successor or to a buyer of its business.
18. Governing law
18.1 These Terms are governed by the laws of Ireland, and the Irish courts have jurisdiction. This does not take away any rights you have as a consumer under Irish or EU law.
19. Entire agreement and contact
19.1 These Terms, with the documents they link to, are the whole agreement between you and Meadow about your use of the Platform. If any part is unenforceable, the rest still applies.
