Booking plans

Build a child's weekly pattern of sessions and see their funding breakdown.

A booking plan sets out the sessions a child attends each week, over a period of time. You'll find it on the child's profile, under the About tab, in the Plan section. Owners and managers can edit plans (the plans.manage permission).

Building a plan

  1. Open the child's profile, go to About, and choose Edit booking plan.
  2. Set the period:
    • Start date — the first day the plan applies.
    • Last day (optional) — leave blank for an ongoing plan.
  3. Build the weekly pattern:
    • Pick a day of the week, then use + to add a session type to that day.
    • Each session shows on a timeline so you can see when it runs.
    • A child can have more than one session on a day (for example a Morning and an Afternoon), but sessions can't overlap — a Full Day won't sit alongside a Morning.
  4. Meadow totals the weekly hours as you go.
  5. Save the plan.

A child has one plan at a time. When you set a new period, it picks up from the previous one rather than overlapping.

Funding on the plan

The plan is also where funding is shown:

  • NCS — attach the child's NCS registration(s) with Add NCS. See NCS funding.
  • ECCE — derived automatically from any ECCE-tagged session on the plan, when the child is enrolled in an active ECCE year. See ECCE funding.

The funding allocation

Once a plan has sessions, Meadow shows an allocation of the week's hours across three bands:

  • ECCE — hours on ECCE-tagged sessions, when an ECCE year is set up.
  • NCS — hours covered by attached NCS registrations.
  • Private — everything else, paid for privately.

This updates as you edit the plan, so you can always see how a child's week is funded.
